Privacy Policy
1. What we collect
Depending on the service and stage of the engagement, we may collect:
- name and contact details such as phone number and email address;
- questions, intake information and other information you choose to submit;
- voice recordings and related acoustic or voice-analysis data;
- transcripts of recordings or conversations;
- session notes, reports, recommendations and assigned work;
- booking, consent, payment-status and engagement records;
- technical information necessary to operate the website and service.
2. Why we collect it
Information is used to assess requests, deliver the purchased engagement, perform voice and operating analysis, prepare sessions or systems, communicate with clients, maintain necessary records, protect the integrity and security of the service, and comply with legal or administrative obligations.
3. Voice analysis and third-party technology
Specialist third-party technology may process voice recordings, acoustic information or transcripts where necessary to perform the service. Where reasonably possible, direct identity information such as the client's name and contact details is kept separate from the voice-analysis input.
We do not sell client data. We do not authorise voice recordings, transcripts, analysis or case information to be used to train artificial-intelligence or machine-learning models without the client's explicit consent.
4. Service providers
Information may be processed by the minimum technology and infrastructure providers necessary to operate and deliver the service, including hosting, database, automation, communications, analytics, voice-analysis and payment providers. These providers process information in connection with their service role and their applicable terms.
Client data is not provided to unrelated businesses for their own marketing.
5. Confidentiality and identity
Client identity, recordings, reports and case details are treated as confidential and are not publicly disclosed, used as testimonials, published as case studies or supplied for research or marketing without permission, except where disclosure is required by law.
Information will not be disclosed to employers, family members, partners, investors or other unrelated third parties without the client's authorisation unless required by a binding legal obligation.
6. Retention
Voice recordings and transcripts are retained for up to 12 months after the engagement ends, unless a longer period is required by law or is necessary to resolve an active legal, payment, security or contractual issue. Other limited administrative records, such as consent and payment records, may be retained for longer where reasonably necessary or legally required.
A client may request earlier deletion where deletion is legally and operationally possible.
7. Security
Reasonable technical and organisational safeguards are used to protect client information. Voice recordings may be stored in private, access-controlled storage and temporary access links may be time-limited. No digital system can be guaranteed to be completely immune from security risk.
8. Payments
Payments may be processed by authorised third-party payment providers, including Stripe or Ziina. deenaal.com and BRAiNZ FOR CONSULTING - L.L.C - O.P.C do not store full card numbers or card security codes. Payment providers handle card information under their own privacy and security terms.
9. Communications and marketing
We may contact clients or people who have submitted an enquiry by email, telephone or messaging services about their engagement, availability, or deenaal.com / Deena Al services and offerings. Contact information is not sold or supplied to other businesses for their marketing. Promotional communications can be opted out of at any time.
10. De-identified internal learning
De-identified insights may be used internally to improve the provider's methodology or service where the information cannot reasonably be connected back to the client. Identifiable case material is not used for this purpose without permission.
11. Access, correction and deletion
Clients may request access to, correction of or deletion of information by contacting Assistant@deenaal.com. Requests are handled subject to identity verification, operational feasibility and applicable legal obligations.
12. Legal disclosure
Information may be disclosed where required by applicable law, court order or another binding legal obligation.
